Frequently Asked Questions and Answers about the upcoming AESOP Congress in Paris
Registration, Visa, Payments & Cancellation
To register for the congress, go to the AESOP Annual Congress Website. There, you will see multiple subsections, one of which says “Register”. After clicking on “Register”, it will have you log into the AESOP Website, or create an account if you do not have one, in order to register for the congress. Creating an account is necessary to register for the Congress. There are various registration fees, depending on AESOP Members, Non-Members, PhD Workshop, Specials, Online Participation, and Social Events. Click the link here to check out the various registration fees. The fees will also show up when registering for the congress and it is time to pay the registration fees.
Yes, there are deadlines for conference registration. The Early Bird Registration deadline is April 15, 2024. The Late Registration for participants is July 1, 2024. For more deadlines and key dates, click the link here.

The registration for the payment on Aesop website is a different process and a different platform from the one used for the abstract submission (sometimes there have been confusion about these two processes). You need to register to the Aesop registration platform.
If you already have an Aesop account, and you forgot your name or password, there are links to retrieve them.
No. As you can see on the website the one-day participation is only for participants who are not in the Congress program. You can find further information on the website.
When registering for the congress, the registration fees and payment options will become available to you. You can pay the registration fees with either a credit or debit card, with any type of electronic money, and/or a bank transfer. These options are available when completing registration for the congress.
For cancellation and refunds for registration fees, you will only receive a full refund before April 15, 2024. After April 15, 2024, no refund for registration fees will be given. Only in situations of force majeure will a full refund be granted.
In case of a visa cancellation can refund you are due to force majeure (of course we need proof about it)
Program, Formats & Submissions
The program of the individual presentation depends on registration, and the early bird period ends April 15th. After that, we will define the program and send a notification to the authors/publishers on the website. We hope to be able to have a draft version as soon as possible, and a final version by the first week of June.
The abstract will be included in the book of abstract.
You have to submit the paper by the deadline on the website, if you want it to be included in the proceedings.
No. The full paper submission is not mandatory unless you are competing for the best paper award. You can also decide to submit the full paper only for the Best Congress Paper award highlighting that you don't want it to be published in the Book of Proceedings. To submit an abstract, first choose the most appropriate track for your submission. You can view the list of tracks on the AESOP Annual Congress Website. For each track, there is a “Submit your abstract” link, which will take you to the site where you can submit your abstract. You will need to log into the AESOP Website in order to do so.
Those accepted for the Poster Session are entitled to bring a hard copy of a poster size A1 (height 84.1 cm, width 59.4 cm) with a concise research summary, images and annexes. During the poster session, presenters will stand in front of the paper and answer questions from the passers-by.
Yes, but only if you consider presenting at the online sessions. Attending online sessions lets you listen to the keynote presentations and the virtual track. You will be assigned a time slot to present online, and you will be invited to a Zoom conference. All virtual sessions will be presided over by one of the researchers who will be present in Paris. The session will host a discussion among the virtual presenters and those attending the virtual track in Paris. All the POSTER guidelines can be found on the website linked here.
Yes, your abstract will be included in the book of abstract.
Yes, you can decide to submit the full paper if you want it to be published in the Book of Proceedings.
Language, Accommodation & Transportation
The congress will be conducted only in English
Unfortunately, there are no simultaneous translations during the presentations. The entire congress will be held in English.
During the congress period, there are multiple accommodations in Paris available for participants. Please click here to check out the list of accommodation that is available during the congress period and contact information.
Yes, there are preferential rates for accommodation for conference participants. Use the code “AESOP2024” as a reference upon registration, it entitles participants for a discount. The discount rate is based on the rate of the day when the booking is made.
